Required Skills & Qualifications:

  • BS degree in Life Sciences, Business or a related field of study or equivalent work experience
  • Excellent communication skills
  • Proficiency with Microsoft Office Suite (Word, Excel, Power Point, Outlook) required
  • Experience working with database systems, specifically Tech Transfer (Inteum ideal) desired                               
  • Ability to assess situations and re-prioritize throughout the day                                                                           
  • Ability to work in a busy environment with time sensitive deadlines                                                                      
  • Ability to work quickly and produce accurate work product

Description of Duties:

  • Technology database management (the office currently using Inteum)
    • Record new invention disclosures, conduct due diligence to verify funding source for reporting obligations. Maintain a schedule follow-up.
    • Docket patent application information from law firms, keep track of deadlines through the database system
    • Manage the central patent inbox by processing all emails regarding intellectual property reporting and patent data administration
    • Keep patent expense and license revenue record up-to-date
  • Tech Transfer Financials support:
    • Manage invoices from law firms, including invoice approvals from office staff
    • Keep internal records of all invoices and communicate with Accounting regarding the payment of invoices
    • Coordinate and process patent annuities payments by patent deadlines through external annuity provider
    • Process license-related invoices
  • Provide office support to the department
  • Planning and setting up meetings, including scheduling and arranging catering for events, fort example:
    • Bi-monthly Intellectual Property Review Committee
    • Assist with the Annual Innovation Showcase preparations
    • Manage Investigator Education seminars and visits from business development groups, trade organizations, etc.
  • Intellectual Property Compliance Administration
  • Use Interagency Edison (iEdison) website to report intellectual property obligations related to federal reporting, including recording confirmatory licenses, government support clauses in patent applications, utilization reports and resolving notification messages
  • Coordinate Business Development projects and generate reports
